4 Tech Tools I Use to Run My Marketing Agency

I manage a marketing agency from my home-cum-office in Philly. I have only 4 full-time employees that manage all my workload. It may surprise you but none of these employees are humans. Instead, I leverage technology to help me run my business.
I researched thoroughly about these tools before taking their services. However, I was still unsure about them because I thought it would be a big ask to get exactly what I wanted from these tools.
Nonetheless, these tools are easy to use and produce the results that I want. So, if you’re looking to get help from technology, the following tools can be a top choice.
But before I start, there’s something important I want you to know. A reliable internet connection! It is a must if you’re looking to get help from tech tools. Simply because a subpar internet connection may fail to offer ample bandwidth required to run these tools seamlessly. That is why, a quality internet connection like Spectrum is recommended. Spectrum Internet speed will ensure that all the tools run smoothly and there is always sufficient bandwidth to cater to all your needs.
Anyway, let’s get into the tech tools that I use.
Mailbutler
ChatGPT
Motion
Fireflies
Ready to Hire New Tools?
Mailbutler
My first employee is Mailbutler and its primary task is to keep my emails sorted. Besides this, I sometimes use it to send automated emails to potential clients. I guide it on the sort of email I want to send and let it use generative AI to compose and send it for me.
Sometimes, when I don’t have time to respond to emails, I can trust Mailbutler to respond to them. While it’s an optional feature for users, I prefer to use it because Mailbutler’s replies don’t beat around the bush.
Also, I don’t need to open every email to find my client’s contact information, Mailbutler does that for me. It extracts and sorts out the contact information of my clients and lets me access it anytime I want.
ChatGPT
While I believe there’s no end to human creativity, I also think it’s better to use generative AI tools like ChatGPT to save time. Whenever I find it difficult to come up with new ideas, ChatGPT is my savior.
Now, how do I get help from ChatGPT?
Suppose my client wants an article on “A Detailed Comparison Between Android and iOS Devices.” One way to compose this article is to manually open multiple tabs on Google, skim through them, extract information, and then write.
Another way is to get help from ChatGPT as it would take a few moments to come up with an article on this topic. Here, I won’t recommend you write a whole content piece with ChatGPT, but only brainstorm ideas on how to go about a certain topic. It’s because generative AI models lack a human touch and as a marketer, you’d want the audience to resonate with your content.
Motion
Yes, it’s fun to be your own boss and have employees that don’t ask for a day off. But managing everything can be stressful and with that, anyone can be disorganized. Well, Motion is the tool that I use to keep everything in order.
Motion is a project management tool, or you can call it your personal assistant that keeps track of pending tasks. As soon as I open Motion, it reminds me of my unfinished tasks that need my attention.
While it doesn’t force me to complete the work, it tells me about task priority. As soon as my client assigns me a new task, I enter it in Motion along with its priority and expected date of completion. If it’s a high-priority task, I can guide Motion on where to place it in the existing tasks.
This way, the first thing I do when I get up is to peek into every task. So, Motion doesn’t let me miss important deadlines and ensures that I always deliver tasks on time.
Fireflies
Every day, I have around 4-5 meetings with clients. Meetings with new clients can last up to hours because I need to figure out everything that they want. While I always loved meeting new clients, taking meeting notes always took a toll on me. Well, upon doing a bit of research, I found a perfect meeting assistant, Fireflies.
Fireflies is an AI-powered meeting tool that can convert voice into text. Everything that I or my clients say, Fireflies takes notes and saves it in a cloud. Also, Fireflies provides me with a meeting summary and lets me search for specific meeting contents.
So, with Fireflies, I can solely focus on the meeting without having to worry about taking notes.
Ready to Get New Tools?
These are all the tools that I use to run my marketing agency. Or you can say the employees that help me run my marketing agency successfully. Although, I recommend all these tools, if you don’t feel confident about technology handling your work, start with Mailbutler. It comes with a 14-day free trial and you’ll realize how easy your email management becomes. And, if it suffices your needs, then start incorporating these tools one by one. Good Luck!
